Work Time and Productivity Metrics
Flowace Work Time & Productivity Metrics
A simple guide to understanding how work time translates into output
1. Logged Hours
What it means
This is the total time recorded in the system from when tracking starts to when it stops. It includes everything. Working time, breaks, idle time, and meetings.
Example
- Start time: 9:00 AM
- End time: 6:00 PM
Logged Hours = 9 hours
2. Active Hours
What it means
This is the time when the employee is actually using their system. It is measured through keyboard and mouse activity.
It shows how much time a person was truly engaged with work.
Example
- Logged Hours: 9 hours
- No activity for 2 hours
Active Hours = 7 hours
3. Idle Time
What it means
Idle time is calculated based on a configured inactivity threshold, which is set to 10 minutes by default. If there is no keyboard or mouse activity for 10 consecutive minutes, the system automatically detects this and marks the user as idle. This helps accurately capture time when the user is away from work without manual input.
Example
- Lunch break: 45 minutes
- Short breaks: 35 minutes
- Away from desk: 40 minutes
Idle Time = 2 hours
4. Productivity Breakdown
What it means
This shows how active time is used in terms of productivity.
Productive Time
Time spent on work-related tools and websites.
Example
- CRM, coding tools, email
Productive Time = 5 hours
Unproductive Time
Time spent on non-work-related apps or websites.
Example
- Social media, video streaming, shopping
Unproductive Time = 2 hours
Neutral Time
Time spent on apps that depend on context.
Example
- Google Search, YouTube, general browsing
Neutral Time = 1 hour
This helps you clearly understand how effective the working time is.
Productivity Percentage
What it means
Shows how much of the active time is actually productive.
Example
- Productive Time: 5 hours
- Active Hours: 7 hours
Productivity = 71%
5. Work Categories
What it means
Groups work into broader types of activities.
Example
Out of 7 active hours:
- Communication: 2 hours
- Development: 3 hours
- Meetings: 1 hour
- Design: 1 hour
This helps understand how the workday is structured.
6. Time Distribution across Clients, Projects, and Tasks
What it means
This shows where time is being spent from a work and business perspective.
Time on Clients
- Client A: 4 hours
- Client B: 2 hours
Time on Projects
- Client A - Project A: 3 hours
- Client B - Project B: 2 hours
Time on Tasks
- Client A - Project A - Task 1: 1.5 hours
- Client A - Project A - Task 2: 1.5 hours
This helps in tracking effort, planning work, and understanding cost or billing.
A Simple Day View
- Logged Hours: 9 hours
- Active Hours: 7 hours
- Idle Time: 2 hours
Productivity Breakdown
