How to Configure Keyboard and Mouse Activity Alerts

How to Configure Keyboard and Mouse Activity Alerts

Alert type: Productivity

Schedules: Daily, Weekly

Available on: Premium plans

Who can set it up: Admin

Where to find it: Admin Settings › Alerts

Keyboard and mouse activity alerts flag the members whose keyboard activity, mouse activity, or combined keyboard and mouse activity for the day falls below or rises above a value you set. They help a manager see which days are worth a closer look, without reading activity reports every morning.

When to use these alerts

Activity percentages show how much of a tracked day had keyboard or mouse input. A very low figure can mean the work moved offline or the tracker missed it; a very high figure can mean a key was held down or an input tool was running. These alerts send only the days outside your range to the people who need to see them.

Use it to:
  • Set a rule on keyboard activity, mouse activity or both, separate from productive time.
  • Catch unusually low or unusually high activity with one value per team.
  • Receive a CSV of every member who crossed the value, with the actual and expected percentages.

Choose what to measure

Each activity has its own variable in the Variable list. All three are measured over the day's tracked 5-second intervals.

Activity

Variable to select

What it measures

Keyboard activity

Keystroke Activity Percent

Share of the day's tracked 5-second intervals with keyboard activity.

Mouse activity

Mouse Activity Percent

Share of the day's tracked 5-second intervals with mouse activity.

Keyboard and mouse activity

Total Activity Percent

Share of the day's tracked 5-second intervals with keyboard or mouse activity.

How to set it up

The steps use the Low keyboard and mouse activity example for Customer Support.

1. Open the alert settings: go to Admin Settings › Alerts.
2. Click the create button to open the New Alert page. [confirm button label with Product]
3. Choose the Alert Schedule: Daily Notification. For a weekly report, choose the weekly option. [confirm weekly label]
4. Set the Alert Type to Productivity and enter an Alert Name, for example "Low Keyboard and Mouse Activity – Customer Support".
5. Set the condition:
– Variable: Total Activity Percent
– Condition: less than equals
– Compare With: Custom
– By: 50 (%)
6. Choose Apply alert on: All Working Days.
7. Choose whom to monitor: under Applicable to, select the Customer Support team. [confirm icon labels: individual / team / Entire Organization]
8. Choose who gets notified: Reporting Manager.
9. Set when to send: Next day at 11:00 am.
10. Save the alert to activate it.

Example alert setups

Choose the activity that matches how the team works, then set one alert for low activity and, if you want it, one for high activity.

Activity

Team (example)

Low alert

High alert

Why these values

Keyboard activity

Engineering

less than equals 25%

greater than equals 80%

Engineers type in bursts and spend long stretches reading code or in reviews.

Mouse activity

Design Studio

less than equals 20%

greater than equals 80%

Design work is mouse-heavy, but mouse activity in four out of five intervals all day is unusual.

Keyboard and mouse activity

Customer Support

less than equals 50%

greater than equals 95%

Chat and ticket work keeps input steady; almost no idle interval in a full day is worth checking.

Each setup reads as one sentence, for example:

Keyboard and mouse activity (Total Activity Percent) is less than equals a Custom value of 50%, on All Working Days.

To set up the matching high alert, follow the same steps and change three fields: Condition to greater than equals, By to 95, and Who gets notified to Reporting Manager and All Admin.

All values in this article are examples. Times, hours and percentages are sample values to help you get started. Adjust them to your own working hours, roles and policies. They are not benchmarks or recommendations for any industry.

How the rule is evaluated

  • The value is for the whole day. The alert compares the day's percentage with your value. It does not show when in the day activity was low or high, and it is not real time: it runs daily or weekly, after the day ends.
  • The boundary is included. With less than equals 50%, a day at exactly 50% triggers the alert; the same applies to greater than equals.
  • The data is complete the next day. The day's percentage is final only after the day ends, so send the alert the next day.
  • Weekly sends daily results once a week. Each working day is checked on its own, and the weekly report lists every day a member crossed the value, up to five dates.

Worked example

Each activity is configured as its own alert, so each has its own example. Every example uses the low and high values from the table above.

What recipients receive

Recipients receive an email with a CSV that lists only the members who crossed the value, one row per member per day.

Choosing recipients and timing

Field

Recommendation

Why

Who gets notified (low alert)

Reporting Manager; add Individual if your team has agreed to it

The manager can check in; the member can correct a tracking gap.

Who gets notified (high alert)

Reporting Manager, All Admin; leave out Individual

A high figure needs review first, for example a held key or an input tool.

Complete Hierarchy

Use only when senior levels need the list

Sends to the reporting levels defined by your Workspace Admin. Use View to check who is included.

When to send

Next day, 11:00 am (Daily); after the last working day (Weekly)

The day's percentage is complete only after the day ends.

Use this alert as a prompt for a conversation. Keyboard and Mouse Activity shows a pattern worth checking; it does not explain why it happened. Tell your team which alerts exist and why, send the alert only to the people who need to act on it, and look at the pattern over several days before drawing conclusions.

Reading the results: common scenarios

What you see

What it may mean

What to do

0% for a member

Leave, a holiday, or the tracker was not running

Check attendance before raising it. [confirm with Product whether leave days can be excluded]

Low activity on several days of the week

Calls, offline work, a change in role or a tracking gap

Check the setup, then check in.

Very high keyboard activity

A key held down or an auto-input tool

Review the day's screenshots and timeline before talking to the member.

Most of a team on one day

A shared cause such as training or an outage

Check the cause before addressing individuals.

Good to know

• Choose the day carefully. If every day of the week is selected, the alert also runs on weekends and holidays for everyone who was not working.

• Values are per team or role. Different teams work different hours; set a separate alert for each.

• Alerts follow your workspace settings. Working days and the time zone configured for your workspace decide when an alert runs.

FAQs

Can I set both a low and a high alert on the same activity?
Yes. Create two alerts on the same variable, one with less than equals and one with greater than equals.
