The Project Profitability Report shows whether each project is making or losing money. For every project, it adds up the time logged by everyone who worked on it, turns that time into a total cost, and compares that cost with the project's Expected Revenue.


Note: In the Reporting menu this report is called [L3] Revenue Report. Both names refer to the same report. L3 is dynamic and as per the definitions decided by the Workspace Admin. In this example, L3 = Projects



What problem does this report solve?


A project usually has several people logging time against it, each with a different hourly cost. This report brings all of that together into one row per project, showing its total hours, total cost, Expected Revenue and Profit/Loss across every contributor.


Use it to:

  • See which projects are profitable and which are running at a loss
  • Spot projects where cost is getting close to (or has passed) the revenue you expected
  • Give Project Leaders and Admins a single view of revenue, cost and margin for every project



Understanding L1, L2 and L3


Flowace organises work in a three-level hierarchy that your organization names. This report works at the L3 level. In this article we use this example:

How to generate the report


The L3 Revenue Report export screen.



  1. Open the report. Go to Reporting › Project And Tasks › L3 Revenue Report.
  2. Choose your scope.
  • L1 — select the Group (required).
  • L2 — select the Client under that Group (required).
  • L3 — select one or more Projects or keep All L3 Selected (required).
  1. Set the display options.
  • L3 Status — Active, Inactive or Both. Inactive projects appear as Closed in the exported file.
  • Time Format — Decimal Hours (2.5) or Hours:Minutes (2:30).
  • Date Format — YYYY-MM-DD, DD-MM-YYYY or MM-DD-YYYY.

Get the report.

  • Download Report Now - downloads a CSV straight away.
  • Send via Email - sends the report to your inbox.


What each column means


Column

What it shows

GCM ID

The unique ID of the project, made up of its L1, L2 and L3 IDs.

Group / Client / Project

Where the project sits in your hierarchy (shown with your own L1 / L2 / L3 names).

Status

Active or Closed

Start Date

The date the project started.

End Date

The date the project was closed. Blank if it is still active.

Total Unique Users

How many different people logged time on the project.

Total Days

How long the project has been running (see the formula below).

Duration

Total time logged on the project by all users.

Expected Revenue

The revenue the Project Leader set on the project.

Total Cost

The cost of all time logged, based on each user's hourly cost.

Profit/Loss

Expected Revenue minus Total Cost. A negative value is a loss.




How the numbers are calculated


TOTAL COST
Σ (hours each user logged × that user's hourly cost)
Each employee's hourly cost is set by an Admin when the employee is created. The report works out the cost for each person, then adds everyone together.


PROFIT/LOSS
Expected Revenue − Total Cost
A positive number is a profit and a negative number is a loss.


TOTAL DAYS
Start Date → End Date (if closed) or → report date (if active)
Both the first and last day are counted. A project that started on 21 Sept and is still active has Total Days = 3 in a report generated on 23 Sept.


Worked example


The E-commerce Website Revamp project (Group: Digital Services, Client: Northwind Retail) has an Expected Revenue of ₹50,000. Two employees log time on it:

Reading the results: common scenarios


What you see

What it means

What to do

Profit/Loss is positive

Expected Revenue is higher than the cost of tracked time.

Nothing needed. Check it regularly as more time is logged.

Profit/Loss is negative

The cost of tracked time is higher than Expected Revenue.

Review scope, staffing or the revenue figure.

Expected Revenue is 0 and Profit/Loss is negative

No Expected Revenue has been set, so the full cost shows as a loss (for example, ₹2,000 cost gives −2,000)

Ask the Project Leader to set Expected Revenue on the project.

Duration is 0:00 and Total Cost is 0

No time has been logged on the project, so Profit/Loss equals Expected Revenue.

Check that the team is tracking time against the right project.



Good to know


  • Only tracked time counts. Total Cost includes only hours logged in Flowace. Offline or untracked work on the project is not included.
  • Expected Revenue can change. Project Leaders can edit the project (L3) at any time to update Expected Revenue, and Profit/Loss recalculates automatically.
  • The results are only as accurate as your inputs. Check that hourly costs are set for every employee and that Expected Revenue is set for every project.
  • Small rounding differences are normal. Duration is displayed rounded to the second, so recalculating cost by hand from the Duration column can differ slightly
  • Totals are shown at project level. Each row is one project; individual employees' hours and costs are not listed.

FAQs

  • Why does a project show a loss when no Expected Revenue has been set?

If Expected Revenue is blank or 0, Profit/Loss equals −Total Cost. Once revenue is set, the figure updates.

  • Can I see which employees made up the cost?

No. This report shows totals for each project, with one row per project.

  • Does the report include inactive projects?

Yes, if you choose Inactive or Both under L3 Status. They appear as Closed, with an End Date.
