Flowace Knowledge Base: How to Enable or Disable Privacy Mode

What is Privacy Mode?

Privacy Mode allows users to keep their application usage details and screen content private while Flowace tracking is active.

When enabled:

  • Flowace will not record screenshots.
  • Specific app usage details may be hidden.
  • User activity is tracked in a privacy-protected way.


Where to Find Privacy Mode Settings

There are two places Privacy Mode can be managed:

  1. Individual User Setting

Used to control Privacy Mode for specific users.

  1. Bulk Default Setting

Used to define the default Privacy Mode for all new users added in the future.


1. Enable or Disable Privacy Mode for Individual Users

When to use:

Use this when you want to toggle Privacy Mode for a specific user.

Steps

  • Go to Admin Settings (click your avatar/name in the top right).


  • Select Permissions from the sidebar.
  • Choose Desktop App.
  • Find the user you want in the list.
  • Under Privacy Mode, toggle the switch for that user:Green = ON (Privacy Mode enabled)Grey = OFF (Privacy Mode disabled)
  • Save the changes if prompted.


Important Notes

  • This setting applies per user — each user can have a different Privacy Mode status.
  • Only admins can update this setting.
  • Privacy Mode here only affects what Flowace tracks and displays; it does not change any other monitoring or timesheet settings.


2. Set Default Privacy Mode for New Users (Bulk Setting)

When to use:

Use this when you want to define how Privacy Mode is set by default for any new users added to your organization.

How It Works

This setting does NOT affect existing users — it only determines the default setting for future users.

Steps

  • Go to Admin Settings (left panel).
  • Select Default Settings.
  • Click the Timesheet & Monitoring tab.
  • Locate the Privacy Mode toggle.
  • Turn it ON or OFF based on your preference:ON → All new users added later will have Privacy Mode enabled by default.OFF → New users will have Privacy Mode disabled by default.

Important Notes

  • This is a bulk default setting only.
  • It does not retroactively change settings for existing users.
  • It only affects Privacy Mode — other monitoring default settings (screenshots, idle alerts, etc.) remain separate.

When to Use Each

  • Individual Setting: You need a current user to have privacy mode ON or OFF now.

Q: Does enabling Privacy Mode stop all tracking?

Yes — it stops all tracking and time logs are disabled.

Q: Will the bulk setting update existing users?

No — it only applies to users added after the change is saved.
