How to Enable Screenshots Permission at Flowace:
✅ Steps:
- Click on your name in the top right corner to open Account Settings.

- Select Admin Settings.
- In the left navigation menu, choose Permissions.

- Locate and click on the Screenshot option.

- Toggle Screenshots permission to On.

- Enter your desired interval (for when screenshots should be taken).

- Click Save to apply your changes.

Screenshot Permissions Settings
The Screenshot Permissions section in Flowace allows admins to configure how and when screenshots are captured for different team members. Below are explanations for the key controls:
1. On/Off
- Purpose: Enables or disables screenshot tracking for the selected user.
- When ON: Flowace automatically captures screenshots of the user’s screen based on the set interval.
- When OFF: Screenshot capturing is paused for that user.
2. Interval
- Purpose: Sets how frequently screenshots are taken while tracking is enabled.
- Value: The number (in minutes) determines the gap between consecutive screenshots.
- For example:
5→ A screenshot is captured every 5 minutes.10→ A screenshot is captured every 10 minutes.
Tip: Choose shorter intervals for higher visibility, or longer intervals to reduce data volume and increase privacy.
3. Hide Icon
- Purpose: Allows admins to decide whether users see the Flowace tracking icon on their screens.
- When Enabled: The Flowace icon is hidden from the user’s view while screenshots are being captured (“silent” mode).
- When Disabled: The Flowace icon remains visible, indicating that tracking is active.
Each time you make a change, don’t forget to click SAVE to apply the settings.

Once screenshot tracking is enabled for a user in the Permissions > Screenshot settings, the captured screenshots and related activity metrics can be viewed under the Screenshots section of the Flowace dashboard.

At the top, you’ll see the selected user’s profile with options to:
- Select a date range to view activity.
- Filter by timezone.
2. Time Summary Metrics
Flowace summarizes the day’s activity into the following key time metrics:

Actual Time | Total duration the user was active and tracked for the selected day. |
Productive Time | Time spent on approved or work-related applications/websites. |
Unproductive Time | Time spent on non-work-related applications/websites. |
Neutral Time | Time spent on apps that are neither marked productive nor unproductive (e.g., internal tools, research). |
Idle Time | Periods of inactivity (no keyboard or mouse movement detected). |
3. Screenshot Timeline
Screenshots are displayed hourly (e.g., 9:00–10:00 AM) with:
- Timestamped screenshots showing what was on the user’s screen.
- Activity percentages below each screenshot:
- 💻 Keyboard/Mouse activity level (e.g., 0%, 5%, 23%).
- ⏱ Engagement indicators showing productivity during that minute.
Example:
At 9:42 AM, the user’s screenshot shows a task board, with 0% activity — likely reading or viewing a task.
At 9:54 AM, another screenshot shows a meeting screen, with 25% activity — indicating moderate engagement.
4. Screenshot Retention
By default, screenshots are retained for 30 days, after which they are automatically deleted to maintain privacy and storage efficiency.
5. Relation to Settings
- The On/Off toggle from the admin panel controls whether screenshots appear here.
- The Interval setting defines how frequently each screenshot is captured (e.g., every 5 or 10 minutes).
- The Hide Icon setting determines if the user is aware that screenshots are being taken.
