Where to find it | Admin Settings › Work Policies › Productivity Setting › Apps and Websites |
When to use this setting
- A productivity rating was wrong. Correct how past time is counted.
- A work category was wrong. Apply it to earlier activity.
- Only recent data should change. Choose a start date and keep older records as they are.
Apply changes to: options
Use the Apply changes to menu to set how far your update reaches.
Option | What it does | Use it when |
|---|---|---|
Future Records Only | Applies immediately. Past records stay unchanged. | You only need the change from now on. |
Historic + Future Records: All historical records + future | Updates all past records and future activity. Processing may take time. | Every past record should change. |
Historic + Future Records: From a custom date + future | Updates records from the date you choose. Earlier records stay unchanged. | You are unsure, or only part of history should change. |
Example:
- An app used for client work is rated Unproductive.
- You change it to Productive, and choose Historic + Future Records,
- You select a custom date + future, and enter the date the rating became incorrect.
- Reports from that date onward count the time as productive. Earlier reports are unchanged.
Update ratings or categories
Steps:
- Go to Admin Settings → Work Policies → Productivity Setting and open the Apps and Websites tab.
- Select Company Ratings or a team from the list on the left.
- In Apply changes to, choose Future Records Only or Historic + Future Records.
- Update the Work Category or Productivity Rating in the table (see the two methods below).
- Review the number on the Publish button, which shows the rows with pending changes. Click Reset to discard changes you have not published.
- Click Publish. If you chose Historic + Future Records, the Publish to Historic + Future Records window opens. Select one option:
- All historical records + future
- From a custom date + future: select a start date in the "From" field.
- Click Publish changes.

Update a single row
Use the dropdowns in the row to change the Work Category or Productivity Rating (Productive, Neutral or Unproductive). Use Search by name or the filter to find an app or website.
Update many rows at once:
- Select the checkbox for each app or website you want to change.
- Under Bulk apply to selected rows, use Bulk Assign to choose a Work Category, a Productivity Rating, or both.
- Publish as described above.
Exception - Ignore Idle
Ignore Idle applies to new activity only
The Ignore Idle setting applies only going forward, even when you choose Historic + Future Records. It never changes past records.
Work Category and Productivity Rating update across both past and future records.
Processing Time
Updating past records can take time, depending on data volume. Future Records Only publishes immediately. If you need a change in place right away, publish with Future Records Only first, then run a historic update.
Recommended Settings
Goal | Recommendation |
|---|---|
Fix from now on | Future Records Only. |
Fix recent weeks only | Historic + Future Records, then From a custom date + future. |
Fix everything | Historic + Future Records, then All historical records + future. |
Not sure | Historic + Future Records, then From a custom date + future. |
Review published changes
Each publish is recorded in Publish history. Each entry shows:
- Who published the change and when.
- What was updated, for example "Updated Productivity Mapping for 50 apps".
- The status, such as Succeeded.
- The scope: All history, or Custom date with the start date.

FAQs
- Do updates change reports I have already exported?
No. Exported files stay unchanged. Reports in Flowace reflect the update once processing is complete.
- Can I undo a historic update?
Publish another change that restores the earlier setting, using the same scope. Choose your scope carefully, as historic updates can take time.
- Why does Ignore Idle not update past data?
Ignore Idle applies to new activity only, under both scopes.
- Which scope should I choose?
Choose Future Records Only for changes that do not need to correct the past. Choose From a custom date + future when you know when the setting became wrong. Choose All historical records + future when it was wrong from the start.
- Is this available on every plan?
It is available on Standard plans and above.
